St Dominic’s College, Kingswood

School’s complete implementation of Ideagen CompliSpace Education improves policy management, incident management and staff learning.

Challenge

St Dominic’s College is a private, Catholic secondary boys’ school in Kingswood, NSW. It is an Edmund Rice Education Australia (EREA) school with 1000 students and over 100 staff.

EREA is a network of schools, entities and offices offering Catholic Education in Australia. The network includes 33 schools, 19 flexible learning centres and one early learning centre, representing 33,000 students and 4,500 staff.

EREA established the GRaCE project - the Governance, Risk and Compliance Evolution - to help their schools improve their risk, compliance and policy management.

Solution

EREA engaged Ideagen CompliSpace to help bring consistency and transparency to the way its schools manage policies, risk and compliance.

Ideagen CompliSpace worked with EREA schools to implement Ideagen CompliSpace Education, which includes:

• Policy Management System for policy content and management.
• Learning Management System to manage and track compliance training, staff induction and professional development.
• Assurance for hazard and risk management, task management, reporting and more.

St Dominic’s was one of the first EREA schools to complete implementation and start using Ideagen CompliSpace Education.

Results

Policy Management System

Jacquie Powell, Director of Business Services for St Dominic’s said, “We were excited about the project because it would give us an avenue to have all of our policies and procedures in one place – a source of truth to make sure we know where our policies are and that they are updated.”

Before implementing the Policy Management System, Jacquie explained that policies were stored in numerous places at the school – from the website, to the handbook, to staffs’ own hard drives or CANVAS pages.

This created confusion among staff about where to find policies and uncertainty about whether policies were the most updated versions.

Now, the school simply publishes a Policy Management link, which directs staff to the latest version of a policy quickly.

Jacquie shared that the most challenging part of the Policy Management implementation was the preparation work she and her staff did to find and review all their policies. This work was time consuming, but essential, for a smooth implementation.

Learning Management System

Jacquie’s staff are using the Learning Management System to do policy and procedure training. She said, “...staff just did Student Duty of Care and EREA Conduct Policy training in the Learning Management System. Going through the learning was smooth and easy.”

She can see when training has been started, progressed and finished along with the results of assessments, when relevant.

Assurance

Prior to the Assurance implementation the school relied on paper-based forms and the process was cumbersome.

Now, staff have access to Assurance on their mobiles and laptops, and “...it’s become second nature, which is fantastic.” She added that it took very little training for all staff to adopt Assurance.

“If a teacher is on the oval and a student gets injured, she can just fill the form out on the spot. We can send reports directly to the insurance company, along with photos, documents and evidence. Assurance saves so much time and improves accuracy as well.”

Reporting

Jacquie has found the reporting function of the systems in CompliSpace Education to be very helpful. The reports provide the information she needs for staff, management, committee and Board reports.
